Can the venue be sympathetic with the unpredictable nature of final numbers?

The biggest pitfall of organising this type of event is entering into a contract with the venue guaranteeing a pre-agreed minimum number and then not reaching those numbers. We are here to negotiate and advise on contracts and minimum numbers and to reach a workable agreement for both sides.
